Terms and conditions
Draft · last changed 30 October 2026
The agreement between ClipStation and the business or organisation that opens an account. It is written to be read, not skimmed: sixteen short sections, in plain words.
1. About these terms
1.1ClipStation is a service run by Chaos Created Limited, a company registered in England and Wales with company number 08335221, whose registered office is at 51 Newfoundland Way, Portishead, Bristol, North Somerset, BS20 7FP (“we”, “us”). Our VAT number is GB940445435.
1.2These terms are the agreement between us and the business or organisation that opens a ClipStation account (“you”). They apply from the moment you create an account.
1.3ClipStation is for businesses and organisations. By creating an account you confirm that you are using it in the course of a business, charity or other organisation, and not as a consumer.
1.4If you create an account for an organisation, you confirm that you are allowed to accept these terms on its behalf.
1.5ClipStation is sold in the United Kingdom and in most other countries. The company that takes payment for us (section 4.5) does not sell to a small number of countries, and we cannot offer a plan to a business based in one of them.
1.6These terms do not apply to people who record a video through one of your links. What we tell them is set out in section 7.
1.7Words we use: a “link” is a recording link you create; a “recorder” is a person who records a video through one of your links; a “video” is a recording sent to you through a link; your “plan” is the subscription you are on.
2. Your account
2.1To open an account you give us the name of your business and an email address. There are no passwords. You sign in by following a link we send to that address.
2.2Anyone who can read that email inbox can sign in to your account. Keep it secure, and tell us straight away if you think someone else has got in.
2.3You are responsible for what is done through your account, including the links created in it and what those links ask people for.
2.4The details you give us must be accurate, and you must keep them up to date.
2.5An account needs a plan before it can create links or receive videos.
3. Plans and allowances
3.1Each plan sets what your account can do. The current plans are:
| Starter | Pro | Business | |
|---|---|---|---|
| Videos you can receive each month | 5 | 25 | As agreed with you |
| Active links at one time | 1 | 5 | As agreed with you |
| Longest recording | 90 seconds | 3 minutes | Up to 5 minutes |
| How long each video is kept | 30 days | 90 days | Up to 365 days |
| “Powered by ClipStation” badge on the recording page | Shown | Not shown | Not shown |
3.2A video counts towards your monthly allowance once a recorder has recorded it, approved it and sent it to you. A recording that is abandoned or never sent does not count. Deleting a video does not give its place back.
3.3Your allowance month runs from the day your plan started, not from the first of the calendar month. Videos you did not use do not carry over to the next month.
3.4When you reach your monthly allowance, your links stop accepting new videos until your allowance refreshes or you move to a larger plan. We email you when you are close to the limit and again when you reach it. Videos you have already received are not affected.
3.5A link is active while it can take recordings. It stops being active, and no longer counts towards your plan, when it reaches its end date, when you revoke it, or when it has collected the maximum number of recordings you set for it. A link that is no longer active cannot be reopened.
3.6Every link has an end date of no more than 365 days from when it is created.
3.7The limits on the pricing page when you subscribe are the limits of your plan. If we change a plan's limits, section 15 applies.
4. Prices, payment and tax
4.1Prices are in pounds sterling and are shown without tax. Starter is £9 a month or £90 a year. Pro is £19 a month or £190 a year. The price of a Business plan is agreed with you in writing.
4.2Tax is added at the rate that applies where you are: VAT in the United Kingdom, and VAT, sales tax or a similar tax elsewhere. It is shown at checkout and on your invoice. If you are outside the United Kingdom, checkout may show the price, and charge you, in your own currency, converted from the price in pounds.
4.3You pay in advance, by card, for each month or year. Payment is taken when you subscribe and then on each renewal date.
4.4Your plan renews automatically for the same period, at the price then in force, until you cancel.
4.5Your subscription is sold to you by [the Stripe company named in Stripe's Managed Payments terms] (“Stripe”), acting as an authorised reseller of ClipStation. Stripe takes your payment, charges and accounts for the tax, and issues your receipts and invoices. Its name appears on them, and your card statement shows “LINK.COM*” followed by our name. Stripe's own terms apply to the purchase. We do not see or store your card details. We provide the service itself, and these terms govern your use of it.
4.6If a payment fails we will tell you, and Stripe will try again. If payment is not made after those attempts, your plan ends and your links stop accepting videos. Videos you have already received are kept until the date they would have been deleted anyway.
4.7We may change our prices. We will give you at least 30 days' notice by email, and a new price applies from your next renewal after that notice. If you do not accept it, you can cancel before the renewal.
5. Changing plan, cancelling and refunds
5.1You can change plan, update your card, see your invoices or cancel at any time from the Billing page of your account.
5.2Moving to a larger plan takes effect straight away. You pay the difference for the rest of the period you have already paid for.
5.3Moving to a smaller plan takes effect straight away. What you have paid and not used is credited against your future payments. The smaller plan's limits apply from that moment.
5.4If you cancel, your plan stays active until the end of the period you have paid for, and you are not charged again. After that your links stop accepting videos.
5.5We do not refund a period that has already started, except where section 13.4 applies or the law requires it.
5.6Because Stripe is the seller, you can also ask Stripe about a payment. Stripe may give a refund under its own terms, or where the law in your country requires one.
5.7After your plan ends you can still sign in. Videos you have received stay available until the date each was due to be deleted (section 11).
6. Free trials
6.1We do not offer a free trial to everyone. We may invite a particular person to try a plan free of charge, by sending them a trial link.
6.2A trial link can be used once, to open one new account. It cannot be used on an account that already exists, and it stops working if it is not used within the time we set.
6.3A trial gives that account the plan named in the invitation, with that plan's limits, for the number of days stated. No payment details are taken.
6.4When the trial ends the account has no plan. Its links stop accepting videos until you choose a plan. Videos received during the trial are kept until the date each was due to be deleted.
6.5If you subscribe during a trial, your paid plan starts at once and replaces the trial.
6.6These terms apply during a trial as they do to a paid plan.
7. Recording links and the people who record
7.1When someone opens one of your links, we show them what you are asking for, the time limit, and a statement they must agree to before their camera is switched on. It tells them the video will be shared with whoever sent the link, that nothing is sent until they approve it, that it is stored privately, and how many days it is kept under your plan.
7.2A recorder can watch their recording back and record again as often as they like. Nothing is sent to you until they approve it.
7.3You decide what to ask for and who to send a link to. You are responsible for:
- having a lawful reason to collect and use each video;
- telling recorders, in your own words, who you are and what you will do with their video, including if you plan to publish it;
- getting any further permission you need, for example before using a testimonial in advertising;
- acting on a recorder's request to see, correct or delete their video.
7.4Anyone who is sent a link can report it to us if they think it is being misused. We may look into a report, and may act under section 13.
7.5Recorders do not need an account and do not pay. They have no contract with us for the service, and you must not tell them otherwise.
8. Acceptable use
8.1You must not use ClipStation, or let anyone else use it:
- to ask for anything unlawful, harmful, sexual, threatening or abusive;
- to ask someone to show or read out identity documents, passwords, bank or card details, or other security information;
- to deceive someone about who is asking for the video or what it is for;
- to record anyone who has not agreed, or who is not able to agree;
- to collect videos from anyone under 18, [unless a parent or guardian has agreed and you have told us in advance];
- to harass anyone, or to send links to people who have asked you to stop;
- to try to get round your plan's limits, for example by opening several accounts;
- to probe, overload or interfere with the service, or to access it by automated means;
- to resell the service or offer it to others as your own.
8.2You must not upload or cause to be uploaded anything that contains malicious code.
8.3If you become aware of misuse of one of your links, revoke the link and tell us through our abuse reporting page.
9. Your videos and our service
9.1We claim no ownership of the videos sent to you. As between you and us, they are yours, subject to any rights of the people in them.
9.2You give us permission to store, copy and transmit your videos only as far as needed to provide the service to you: to receive them, keep them, play them back to you, let you download them and delete them.
9.3We do not add a watermark or anything else to a video. The file you download is the file the recorder's browser made.
9.4We do not watch your videos. One of our administrators may open a particular video only to investigate a report of misuse, a legal request or a fault you have asked us to look into. Each time, the reason is recorded.
9.5ClipStation, its name, logo, software and design belong to us or our licensors. These terms give you the right to use the service while you have a plan, and nothing more.
9.6If you send us suggestions about the service, we may use them without owing you anything.
10. Personal data
10.1A video of a person, and the name and email address a recorder may choose to give, are personal data. For that data you are the controller and we are your processor: you decide why it is collected and what is done with it, and we handle it on your instructions.
10.2For the details of your own account (your name, email address, billing records and how you use the dashboard) we are the controller. Our privacy policy explains what we do with them.
10.3As your processor we will:
- handle recorders' personal data only to provide the service and as you instruct us through it, unless the law requires otherwise;
- make sure anyone at our company who can reach it is bound to keep it confidential;
- keep appropriate security in place, including private storage, playback addresses that work for a few minutes only, and a record of every time an administrator opens a video;
- help you, as far as is reasonable, to answer a request from a recorder about their data, and to meet your own duties on security, breach notification and impact assessments;
- tell you without undue delay if we become aware of a personal data breach affecting your videos;
- delete the data when it is due to be deleted under section 11, and at the end of the agreement;
- give you the information you reasonably need to show that these duties are being met.
10.4You agree to our using these companies to help provide the service:
| Company | What it does for us | Where |
|---|---|---|
| Sevalla | Hosts the website and the database | United Kingdom (London) |
| Cloudflare | Stores the video files, through Sevalla's object storage | Western Europe |
| Mailgun | Sends our emails, including sign-in links and notices that a video has arrived | European Union |
| Stripe | Sells your subscription on our behalf and takes payment. Stripe handles your billing details as a controller in its own right | United States, and worldwide |
10.5We will tell you by email before we add or replace a company in that list. If you object on reasonable grounds, you may cancel.
10.6We will not move recorders' personal data outside the United Kingdom unless the law's conditions for doing so are met. [Confirm where data is stored and whether any transfer safeguards are needed.]
10.7Google Analytics runs only on our public pages (the home page, pricing, the demo, sign-up and the cookies page) and only with the visitor's agreement. It does not run on a recording page or in your dashboard.
11. How long videos are kept
11.1Each video is deleted automatically a set number of days after it arrives: 30 days on Starter, 90 days on Pro, and the period agreed with you on Business. The period is fixed by the plan you were on when the video arrived.
11.2That is the period recorders are told before they record. Download any video you want to keep for longer, and tell the recorder if you do.
11.3You can delete a video sooner. It disappears from your dashboard at once, and the file is removed from our storage within 7 days. The record of the video can remain in a backup of our database for up to 7 days after that; the file itself is not backed up, so once it is removed it is gone.
11.4Deleted videos cannot be recovered. We are not responsible for a video you did not download before it was deleted.
11.5If your account is closed, its videos and links are deleted with it.
12. The service
12.1We will provide ClipStation with reasonable skill and care. We do not promise that it will be available without interruption or free of faults.
12.2Recording happens in the recorder's own browser, on their own device and connection. Whether a recording can be made, and its quality, depend on those. Recordings are up to 1080p. Most browsers produce an MP4 file; Firefox produces a WebM file.
12.3We may need to take the service offline for maintenance. Where we can, we will do it at quiet times.
12.4We change ClipStation as we improve it. We will not remove something your plan depends on without telling you first.
12.5Support is through our support page. We aim to reply within 72 hours.
13. Suspension and ending the agreement
13.1We may suspend your account, so that your links stop working and you cannot use the dashboard, if we reasonably believe that you have broken section 8, that your account is being used to harm someone, or that the law requires it. We will tell you why, unless the law prevents us.
13.2We may end this agreement by giving you 30 days' notice by email. We may end it at once if you seriously break these terms, or break them and do not put it right within 14 days of our asking.
13.3You may end this agreement at any time by cancelling your plan and asking us to close your account.
13.4If we end the agreement under the first sentence of 13.2, we will refund the part of what you have paid that covers the time after it ends.
13.5Suspension does not extend how long videos are kept. They are still deleted on the dates set by section 11.
13.6When the agreement ends we delete your account, links and videos. Sections 9.5, 14 and 16 continue to apply.
14. Our liability to you
14.1Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for anything else that the law does not allow us to limit or exclude.
14.2Subject to 14.1, we are not liable to you for loss of profit, loss of business, loss of goodwill, or any indirect or consequential loss.
14.3Subject to 14.1, we are not liable for a video that was not recorded, could not be sent, or was deleted on the date these terms say it would be.
14.4Subject to 14.1, our total liability to you in any 12 months, for everything connected with these terms, is limited to the amount you paid for your plan in the 12 months before the claim arose.
14.5You are responsible for how you use the videos you collect. If someone brings a claim against us because of what you asked for through a link, or what you did with a video, you will cover our reasonable losses and costs.
14.6Neither of us is liable for a failure caused by something outside our reasonable control, such as a failure of the internet or of a hosting or payment provider.
15. Changes to these terms
15.1We may change these terms, for example when the service changes or the law does.
15.2If a change reduces what your plan gives you or adds to what you must do, we will email you at least 30 days before it takes effect. If you do not accept it, you may cancel before then, and we will refund the part of what you have paid that covers the time after you cancel.
15.3Other changes take effect when the new version is published on our website. The date at the top shows when the terms last changed.
16. General
16.1These terms, with our privacy policy and the pricing shown when you subscribe, are the whole agreement between us about ClipStation.
16.2You may not transfer your account or your rights under these terms to anyone else without our written agreement. We may transfer ours to a company that takes over the service, and will tell you if we do.
16.3Nobody other than you and us has any right to enforce these terms.
16.4If a court finds part of these terms cannot be enforced, the rest still applies.
16.5If we do not enforce a right straight away, we can still enforce it later.
16.6We will send notices to the email address on your account. Send notices to us through our support page.
16.7These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction over any dispute.
16.8To contact us about anything in these terms, use our support page or write to 51 Newfoundland Way, Portishead, Bristol, North Somerset, BS20 7FP.
This is a draft. It was written from how ClipStation works today and has not yet been reviewed by a solicitor. Anything shown [like this] is still to be confirmed. The wording may change before sign-up opens.
